iTRAIN SOLUTIONS™ Health & Safety Program FAQs

When OH&S legislation changes, how is change in legislation incorporated into the program? Do I have to re-purchase the program?
Changes in legislation in the OH&S Act are infrequent. However, when changes do occur, updates are posted on the iTRAIN SOLUTIONS website and we notify our customers by email. Updates are available for a small fee.

Does the iTRAIN SOLUTIONS™ Health & Safety program cover all health and safety issues, policies and procedures for all industries, or is it specifically suited to my industry? For example, how does it relate to a motor vehicle workshop environment as opposed to retail environment?
The Health & Safety CD-ROM is a generic program for retail and office environments and covers general and essential health and safety policies such as bullying, sexual harassment, discrimination, Worker’s Compensation, accidents and injury, how to keep safe at work, ergonomics and so on, which are relevant to many industries and workplaces.
Custom versions for other industries are also available on request.

If I use this program to train my staff on health and safety, and there is an incident, am I legally covered?
Training with the Health & Safety CD-ROM is not protection from your legal obligations. However, this program will assist you in keeping your employees informed and meet your responsibilities as an employer. In accordance with the OH&S Act 2004, your obligations as an employer is to ensure the health, safety and welfare at work of all your employees. To meet your responsibilities under the OH&S Act 2004 Section 21(2)(e) you must provide the information, instruction, training and supervision to employees to perform their work in a manner that is safe and without risk to health. There was a recent prosecution whereby a company was fined $25,000 for not providing information, training, instruction and supervision for bullying in the workplace and a further $2500 for not providing the corresponding systems of work. In addition, the employee guilty of the offence was also fined out of his pocket $10,000 for the offence.

Is this program based on legislation written by government health and safety bodies?
The Health & Safety program incorporates much information and policies complying with the requirements of Workplace Victoria. Employers are required to provide their employees with Health and Safety training by law. Health & Safety training is an integral part of Health & Safety management strategy and is necessary to allow managers and employees to fulfill their health and safety roles and responsibilities.

How easy is the disk to use and navigate through?
The Health & Safety CD-ROM operates on PC's and runs from the CD-ROM without requiring installation. It is easy to navigate through the menus using only the mouse. No keyboard skills are required. The interactive program is principally voice-over with text and images to reinforce the content, making it easier to absorb the material.

How long does it take for trainees to complete the CD-ROM training program?
The Health & Safety CD-ROM can be completed in just under an hour. However, your employees can complete the program at their own pace and can also navigate the program in sections if so desired.

Will all parts of the program be relevant to my employees, and how do I ensure my employees will understand the information?
The program is interactive, and will require your employees to provide responses to questions, which will actually get them thinking about the material. The information provided on the program is concise and clear-cut to ensure your employees don’t feel overwhelmed by information. Almost all of the information provided on the program will be important and relevant to your workplace. However, if you feel there are parts which don’t apply to your organisation, you are able to omit that section from your training program. At the end of the program there is multiple question interactive assessment, that produces a report assessing your employees’ understanding. This will highlight parts of the training that require more revision.

Health & Safety legislation changes from state to state. If I have an organisation that has stores (eg. A franchise) nation-wide, how many CD's do I need, and will each CD-ROM be different?
Each store will need at least one CD-ROM per location.

How will the Health & Safety training program increase my staff’s productivity? How will the Health & Safety training program ensure happier staff?
How will the program assist my employees to perform their work safely?

Health & Safety legislation recognizes the importance of training in preventing workplace injuries. Training is vital to assist employees perform their work safely. That said, training should never be treated as a substitute for removing a hazard. Training is only one part (an important one) of your obligation as an employer. You also need to take other measures to ensure the workplace is a safe environment for your employees. Appropriate training ensures employees are aware of the rules, and therefore risk of an unsafe workplace is minimised. A safe workplace has less conflict, less disruption and fewer chance of ending up in court and costing you money!

How will the Health & Safety program save me time and money?
By using the program you are fulfilling your obligation as an employer. Fines and penalties are imposed for not providing information, training, instruction and supervision, as in the form of prosecutions and convictions. Adequately trained and aware employees reduce the likelihood of industrial conflict. You are able to save time as your employees work through the CD-ROM at their own pace without the need for another employee to train them. You purchase the program once, compared to the expense of one-on-one training, and over time your business will save considerably. In addition, your employees are exposed to the same training program, ensuring consistency in training delivery as well as reduced costs of instructional material.

Does an iTRAIN SOLUTIONS™ consultant show me how to use and implement the program at my workplace?

Can iTRAIN SOLUTIONS™ Health & Safety program be delivered via the web?
iTRAIN SOLUTIONS can be readily delivered via the Internet. The iTRAIN SOLUTIONS™ package is hosted as a single compressed file (that will automatically decompress and run on the PC) from your website. All that you are required to do is to download to your PC the AUTHOR Player from the iTRAIN SOLUTIONS website. Once the AUTHOR Player is installed then any AUTHOR lesson can be run. The employee logs onto the company web site and clicks on the appropriate icon and the program commences. They enter their employee ID code and begin their training. Multiple employees can perform the Induction training at the same time.

Results of the training can be delivered your Head Office via:

  • Hard copy printouts
  • Emails sent to Head Office
  • Web Results sends results over the Internet to TMS
  • Interface to in-house program
    (additional fees applicable to all above for implementation)
  • SCORM compatibility (where results of each lesson are directed to the appropriate learning management system, for example line managers, sales supervisors etc)

Can employees be prevented from speeding ahead?
Normally employees can press the NEXT button to speed up the visual presentation and cancel the audio when they move to the next screen. This offers trainees who prefer reading text rather than listening to the audio the ability to move through the lesson at their own pace. If requested, the Health & Safety program can be adjusted so that the page must wait until the audio finishes before proceeding. There is a small charge for this function.

How are trainees tested, and evaluated on the information they have learnt?
Questions can be asked throughout each section and at the end. The questions asked during a topic area are for clarification and interaction rather than for evaluation. The most common method of delivering evaluation is to have an assessment option on the main menu. This means the employee can review the information (or the lesson) as often as they like, until they are ready to take the assessment.

Due to the design, it is recommended that each training program be run from its own desktop icon or from a menu list in the Start-Programs menu.

How do I ensure employees have successfully completed the training?
The Training Management System (TMS) allows trainees, managers and senior employees access to courses, feedback on progress, result records and printed reports. Depending on the employee’s seniority in the organisation, various menus and applications can be accessed, providing the user with essential information on which programs have been accessed and completed by employees. For example, a manager will have access to detailed information about individual employees, printed result reports, customisation preferences, and will be able to add new training modules to the course. A trainee, on the other hand will only have access to the relevant training program and their personal information.

If the program is accessed via the Internet, what are the security implementations?
Lessons can be accessed over the Internet from your company’s website. Simply download the player once, and then the lesson. The lessons can be set up to only play once and/or for a limited time period. Alternatively, a password can be set where the employee is required to ring your Head Office to request the password. These lessons can still run once and/or for a limited time period.

How is employee access to the program controlled?
Employees need a password and username to access the various iTRAIN SOLUTIONS™ programs. A trainee’s access is restricted and limited. Senior management has full access to the program. The Induction, Health & Safety and Reference programs are run via TMS. Multiple employees have simultaneous access to Induction training and at different stages.

Can 'reference' be turned on/off?
The desktop icon to ‘reference’ is not password controlled although there may be third party programs that can control access. If the iTRAIN SOLUTIONS™ program is purchased with TMS then access to Reference can be controlled via password logon.

How is access to Reference controlled?
Access to Reference can be controlled via TMS, with access being removed when and if required. Also, there can be a prerequisite where employees cannot access Reference until they have completed the next module. Additional links can be added to Reference to access PDF files, word documents etc. Those files can also be accessed via TMS.

Due to the design, it is recommended that each training program be run from its own desktop icon or from a menu list in the Start-Programs menu.
